This Privacy Policy explains how Fenn Labs LLC (“Fenn Labs,” “we,” “us,” or “our”) collects, uses, and shares information when you use fenn, including fenn.app, related sites, and branded client portals (the “Service”).

fenn is built for agencies and freelancers who work with clients. That means we process account data for workspace owners and team members, and we also process client and project data that you choose to store in fenn. If you have questions, contact us at contact@fenn.app.

1. Who we are

The Service is provided by Fenn Labs LLC, 30 N Gould St, STE R, Sheridan, WY 82801, USA.

If you use fenn as a customer (agency or freelancer), Fenn Labs is typically the controller of your account and billing information. For client and project data you upload into your workspace, you are generally responsible for that data as the business customer, and we process it to provide the Service to you.

2. Information we collect

We collect information in the following categories:

  • Account and profile data. Name, email address, password or authentication tokens, company or workspace name, role, and settings you configure.
  • Customer Content. Client profiles, contacts, projects, tasks, files, messages, forms, agreements, invoices, notes, brand assets, and other materials you or your users submit to the Service.
  • Usage and device data. Log data such as IP address, browser type, pages viewed, feature usage, timestamps, and approximate location derived from IP.
  • Cookies and similar technologies. Session cookies and similar tools needed to keep you signed in, remember preferences, and understand how the Service is used.
  • Payment information. Subscription and client payment activity is processed by Stripe or similar providers. We receive payment status and limited billing metadata; card numbers are handled by the payment provider, not stored by fenn as full card data.
  • Communications. Messages you send to support or sales, and feedback you provide about the product.

3. How we use information

We use information to:

  • Provide, operate, secure, and improve the Service
  • Create and manage accounts, workspaces, and permissions
  • Process subscriptions, invoices, and related billing
  • Enable client portals, collaboration, and notifications
  • Power optional AI features such as meeting notes and summaries
  • Communicate about product updates, security alerts, and support
  • Analyze aggregate usage to improve reliability and design
  • Comply with law and enforce our Terms of Use

We do not sell your personal information. We do not use Customer Content to train general-purpose AI models for unrelated third parties.

4. AI features

On eligible plans, fenn may offer AI-assisted features such as joining meetings, recording or transcribing calls (where enabled), and generating summaries or action items.

You control whether and how these features are used in your workspace, and what you share with clients. Meeting content and generated notes are treated as Customer Content. You are responsible for obtaining any consents required for recording or AI processing under applicable law and your agreements with clients.

AI outputs can be incomplete or incorrect. Review important outputs before relying on them for business decisions.

5. How we share information

We may share information with:

  • Service providers who help us host, email, analyze, support, or process payments (for example, Stripe), under contracts that limit their use of the data
  • Your organization and invited users, according to workspace roles and portal permissions you configure
  • Professional advisors such as lawyers or accountants when needed
  • Authorities when required by law, legal process, or to protect rights, safety, and security
  • Successors in connection with a merger, acquisition, or asset sale, subject to appropriate safeguards

Client portal visitors only see information you choose to make available to that client relationship.

6. Data retention

We retain information for as long as your account is active and as needed to provide the Service. After deletion or cancellation, we may retain limited data for a reasonable period for backups, dispute resolution, security, and legal compliance, then delete or anonymize it.

You can request export or deletion of account data by contacting contact@fenn.app, subject to legal holds and technical limits.

7. Security

We use administrative, technical, and organizational measures designed to protect information, including access controls, encryption in transit where appropriate, and isolation of client relationships within portals.

No method of transmission or storage is completely secure. Please use strong passwords, limit seat access, and notify us promptly of any suspected unauthorized access.

8. International transfers

Fenn Labs is based in the United States. If you access the Service from outside the U.S., your information may be transferred to and processed in the United States or other countries where we or our processors operate. Those countries may have different data protection laws than your own.

Where required, we use appropriate safeguards for cross-border transfers, such as contractual protections with processors.

9. Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, or export personal information, or to object to or restrict certain processing. You may also have the right to withdraw consent where processing is consent-based.

To exercise these rights, email contact@fenn.app. We may need to verify your identity. If you are a client of an agency using fenn, please contact that agency first for requests about data they control in their workspace.

You can update many account details in settings. You can opt out of non-essential product marketing emails using unsubscribe links (transactional and security messages may still be sent).

10. Children's privacy

The Service is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will take appropriate steps to delete it.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will revise the “Last updated” date at the top of this page, and for material changes we may provide additional notice (for example, email or in-product notice).

Continued use of the Service after an update means you acknowledge the revised policy.
